    My Public Liability Insurance expires before the show dates, what should I do?

    If your Public Liability insurance expires between your application date and the show date don’t worry. Please upload your current PL Certificate to submit with your application form for our records. Once you have renewed your insurance send the updated certificate to us so that we can swap them over in our files

    I don’t have a Risk Assessment for my stall, what should I do?

    All stalls require a Risk Assessment. They don’t need to be complicated or long winded, but we need to know that you have thought about the health and safety of you, your staff and your customers when planning your stall and/or activity.

    I don’t know how to write a Risk Assessment, what do I do?

    To get yourself started make a list of anything that could cause harm to any person either in setup, operation, or pack down of your stall/activity. Then write next to each item on the list what actions you put in place to reduce the chance of harm occurring. That forms the basics of risk assessment.

    I don't know which category to select for my stall please can you provide further guidance?

    • Charity Stall – A not for profit organisation carrying out fundraising and promotional activities for a worthy cause. Ideally you would have a registered charity number. If not, please contact us to discuss via beacon.park@westlancs.gov.uk 
    • Trade Stall – Most small stallholders applying to the show will fall into this category. Stalls providing goods and services for a profit but aren’t providing hot food, refreshments, ice creams or visitor entertainment will most likely be classed as trade stalls. 
    • Exhibitor/Entertainer – If your stall provides demonstrations and displays and adds an attraction to visitors to show you may be an exhibitor/entertainment. Please contact us via beacon.park@westlancs.gov.uk for clarification.
    • Caterer – A caterer is a food/drink trader who operates from a self-contained catering unit and provides a hot food or refreshment option for people to enjoy at the event.

    Can I leave my stock overnight / can I stay overnight?

    Yes, gazebos/stock can be left overnight.  However, although there is security in place overnight the event is held in a public park adjacent to a busy town centre so leaving any items of value unattended in the showground is not advised. All stock is left at the stallholder's own risk and liability. Stallholders may be permitted to camp/sleepover in the showground overnight on the Saturday of the show if they advise us off their intention prior to the show. More details regarding this will be provided in the show's confirmation pack.

     

    Why can't I sell my products in plastic bags/bottles/cups?

    The Medieval Festival is a sustainable show, and our aim is to promote environmental best practice to all our stallholders and visitors. There are plenty of sustainable alternatives to single use plastic packaging readily available so they will not be permitted at the show. This is in line with WLBCs Climate Change Strategy and Action Plan 2020-2030

    Do I need to attend both days/stay for the entirety of the show?

    Yes you do. We do not accept single or part day applications.

     

    I have a lot of equipment can I drive my vehicle on to the showground?

    Yes, you can. The showground will be accessible to vehicles between 0700-1030 each morning and between 1700-1900 each evening. There will be no vehicular access permitted between 1030 and 1700. Please be aware that there is a Junior Parkrun that uses the park between 0830am and 1000am each Sunday so vehicle movement will be limited during these times and paths must remain clear of obstruction.


    Can I leave my vehicle in the showground?

    There will be allocated parking areas for exhibitor vehicles. Vehicles will not be permitted next to stalls with the exception of food/live animal storage, please contact us via beacon.park@westlancs.gov.uk  for further advice.

     

    Will the organisers dispose of my business waste?

    No. Waste minimisation is a part of the shows Sustainability policy. We expect all stallholders to take reasonable steps to reduce/eliminate all unnecessary waste. All waste that is generated by the stallholder must be removed and where possible recycled. If it is not possible for you to remove your waste from the showground there will be a £50 per unit (i.e. binbag/box) charge for West Lancashire Borough Council to remove and process your waste.

     

    How much does it cost to have a stall at the show?

    Small Trade Stall £60
